Team Roles & Members

Invite teammates and control what each one can do with the Owner, Admin, Editor, and Viewer roles.

A team workspace lets you bring in writers, operators, and clients and control exactly what each one can do. Every teammate gets one of four rolesOwner, Admin, Editor, or Viewer — that decides everything from full control down to read-only access.

Roles only apply to team workspaces. Your personal account has no roles — it is always entirely yours.

Every workspace has exactly one owner — the person who created it. The owner row in the members table carries a Primary Owner badge, and ownership (along with billing) stays with that person until it is explicitly transferred.

What Each Role Sees

What a teammate sees in the app follows their role, so nobody is shown buttons they cannot use:

  • A Viewer has read access to everything but no action permissions. Edit, generate, publish, and delete controls are hidden.
  • An Editor sees the content area (articles and keywords) but the settings, integrations, billing, and members sections are hidden, because they cannot change anything there.
  • An Admin sees content plus settings, generation, business profile, integrations, and the Invite button on the Members page — but not the controls to change roles, remove members, or manage billing.
  • An Owner sees everything.

On the Members page specifically, the Invite button appears only to roles that can manage invitations (Owner and Admin). The role-change, remove-member, and transfer-ownership actions appear only to roles that can manage roles (Owner).

Inviting Members

To add teammates, open Settings → Members and select Invite. Only Owners and Admins see this button.

  1. In the invite dialog, enter the teammate's email address.
  2. Pick a role for them from the selector next to the email. New invite rows default to Admin; choose Editor or Viewer to grant less access.
  3. To invite several people at once, select Add another and fill in the next row. You can send up to 5 invitations at a time.
  4. Use the × button beside a row to remove it before sending (you must keep at least one row).
  5. Select Invite to send. Each invited person receives an email with a link to join the workspace.

You can only assign roles at or below your own level. The role selector only offers roles you are allowed to grant, so an Admin cannot invite someone as an Owner.

When you open the invite dialog, the app first checks whether your plan allows adding members (see Member Limits by Plan below). If your plan does not allow more members, the dialog explains why instead of showing the form.

Managing Members

Existing members are listed in the Members table on Settings → Members, showing each person's name, email, role, and the date they joined. Use the search box to filter by name or role.

Open the (more) menu on a member's row to:

  • Update role — change the teammate to a different role.
  • Transfer ownership — hand the workspace over to that member (Owner only; see below).
  • Remove member — remove the teammate from the workspace.

Role hierarchy enforcement

Actions on a member are limited by the role hierarchy so people can only manage roles equal to or below their own:

  • The Owner (Primary Owner) can manage every other member.
  • A non-owner with role-management permission can only update or remove members whose role is lower than their own — never an equal or higher role.
  • You can never act on yourself or on the Primary Owner from this menu; those rows have no actions. To leave a workspace you do not own, ask an Owner or Admin with the right permission to remove you.

If you have no applicable actions for a given member, the menu simply does not appear on that row.

Pending Invitations

Sent invitations that have not yet been accepted appear in the Pending Invitations table below the members list. Each row shows the invited email, the assigned role, when it was sent, when it expires, and a status badge (Active or Expired).

Open the menu on an invitation to:

  • Update invitation — change the role the person will receive when they accept.
  • Renew invitation — issue a fresh expiry. This option appears only when the invitation has already expired.
  • Remove invitation — delete a pending invitation so the link can no longer be used.

These actions are available only to the Owner. An Admin can send new invitations with the Invite button but cannot update, renew, or remove existing pending invitations from this table. As with members, the Owner can only assign an invitation a role at or below their own level.

Transferring Ownership

Ownership transfer hands the entire workspace — including billing responsibility — to another member, so it is protected by a one-time passcode (OTP).

  1. Only the current Owner can start a transfer. In the Members table, open the menu on the member you want to promote and select Transfer ownership.
  2. The app sends a one-time passcode to the current owner's email. Enter the code to verify it is really you.
  3. Review the confirmation, which names the member who will become the new owner, then confirm.

After the transfer completes, the other member becomes the Primary Owner (with full control and billing), and you drop to a regular member role. This action cannot be undone except by the new owner transferring it back.

Member Limits by Plan

How many members you can add depends on the team's plan:

A team on the Free state (no active subscription) cannot add teammates — the invite dialog will explain that a paid plan is required. Any paid plan (Text, Standard, or Pro) lifts the limit entirely, so you can invite as many members as you need. Billing is handled per workspace, so the subscription belongs to the team itself.
